Records
All records in RVS are retained in accordance with divisional record retention policies and procedures, as well as those outlined in Legislation.
Student Record Transfers
Out of Province requests for student files are to be completed by the new school through Alberta Student Link and approved by the administrative assistant at the school the student last attended.
When students transfer to another school within Alberta, the new school will reach out to request the file transfer through Provincial Approach to Student Information (PASI).
Questions regarding student file transfers between school divisions can be directed to PowerSchool support or the school your student last attended.
High School Transcripts and Diploma Exam Results
The Alberta Transcript of High School Achievement contains the highest marks and credits awarded to a student. Use myPass to order Alberta High School Transcripts and Diplomas, view Detailed Academic Reports and more. There is a $10 non-refundable processing fee for each transcript copy.
MyPass is the Alberta government’s online application for students to:
- order high school transcripts in English or French
- view Diploma Exam marks
- register to write or rewrite Diploma Exams with online payment
- view and print Detailed Academic Reports (DAR)
- view progress towards a credential (diploma or certificate)
- order additional copies of an awarded credential in English or French
- get notifications for important messages

Student Record Access/Change Requests
There are several reasons to access information retained by the school division about a student or in the student’s file.
Please note:
- Third-parties requesting access to a student file will (with only minor exceptions as outlined in legislation) require permission from the parent/guardian or independent student.
- Completed forms can be sent to the Business and Operations team.
- Proof of identity is required when making a request for personal information.
- RVS will respond within 30 calendar days of receiving your request. This is in accordance with the FOIP Act.
- The response will either provide the requested information or explain why RVS is unable to disclose the information.
- The 30-day deadline may be extended.
Student Attendance Records (for tax purposes)
These requests can be directed to the RVS school. If the student is no longer an RVS student, please complete an Administrative Form 180-C form and submit the request to the Business and Operations team.
Student Records
To obtain a copy of a student record, please complete one of the following forms. RVS requires parent/guardian consent to release files to third parties, with only minor exceptions as provided for in legislation. To reduce processing time, parents/guardians may prefer to request the files directly.
Other Records
The FOIP Act allows for third parties to request access to specific records under the care, custody and control of RVS. The release of these documents is governed by the FOIP Act.
To request general information or records fill out and submit form Administrative Form 180-A to the Business and Operations team.
Please note:
- You may be asked to provide proof of identity when making a request for personal information.
- RVS will respond within 30 calendar days of receiving your request, in accordance with the FOIP Act.
- The response will either provide the requested information or explain why RVS is unable to disclose the information.
- The 30-day deadline may be extended if, for example, large volumes of records are involved, enough detail to identify the record(s) hasn’t been provided or third parties need to be consulted.
- There is a $25 filling fee for all general requests for information, in accordance with the FOIP Act.
- RVS will provide an estimate, if/as needed, to recover costs associated with providing the documents. This is in addition to the filing fee.
